This Privacy Policy explains how UniVerify ("UniVerify," "we," "us") collects, uses, and shares information when you use our website and our universe validation tool. UniVerify is operated by Univerify LLC, 30 N Gould St #68018, Sheridan, WY 82801, US.
How file validation works
When you use UniVerify to validate a universe file, the file is read and validated entirely in your browser. It is never uploaded or transmitted to our servers. We store only a non-PHI summary of each run: record counts, row numbers, column letters, rule codes, and the file name you chose. We never receive or store beneficiary names, MBIs, medical information, or any other cell value from your file. Because the file name is stored, we ask customers to avoid putting PHI in file names.
Information you provide to us
When you submit our Contact form or request a demo, we collect the information you provide: your name, email address, company, role, and any message or details about your organization (such as team size or which universes you submit). If you sign up for our newsletter, we collect your email address. We do not require an account to browse the website.
How we use your information
We use this information to respond to your inquiry, schedule and deliver a demo, send you information you have requested, and improve our product and website. We do not use your information for automated advertising or profiling, and we do not currently run any analytics or advertising tracking on this website.
How we share information
We do not sell your personal information. We share information only with the service providers (subprocessors) that help us run UniVerify:
Supabase: hosts our database and file storage.
Netlify: hosts our website and application, and emails your Contact and demo requests to our team.
We may also disclose information if required by law, to protect the rights and safety of UniVerify or others, or in connection with a merger, acquisition, or sale of assets, in which case we would notify you.
Business Associate Agreements
Because universe file contents are processed entirely in your browser and are never transmitted to us, most customers will not need a BAA with UniVerify for the validation tool itself. If your organization's policies require one anyway, we're glad to sign one on request. Contact us to arrange it.
Data retention
We retain Contact and demo request submissions, and validator run-history summaries, for up to 24 months, after which they are deleted unless you ask us to delete them sooner or we are required to retain them longer by law. You can ask us to delete your information at any time by contacting us.
Data security
We use industry-standard safeguards to protect the information we store, including encryption in transit and restricted access to our admin systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your privacy choices
Depending on where you live, you may have rights to know what personal information we hold about you, request a copy of it, request correction or deletion, and opt out of marketing communications. We do not sell personal information, so there is nothing to opt out of in that respect. To exercise any of these rights, contact us using the details below and we will respond within a reasonable time.
Children's privacy
UniVerify is a business tool intended for use by compliance professionals and is not directed at children. We do not knowingly collect personal information from children.
Changes to this policy
We may update this policy from time to time. If we make a material change, we will update the "Last updated" date above and, where appropriate, notify customers directly.
